Screening evidence ready for ACS assessments and client audits
When an assessor or client asks to see how an officer was screened, you shouldn't need a week and three filing cabinets. Cleared to Secure keeps every check, document and decision together and produces the file in one click.
What assessors and clients usually ask to see
Approved Contractor Scheme assessments and client audits commonly sample staff files to check that people were properly screened, licensed and trained. Typical requests include:
- Evidence that each person was screened to [BS 7858](/bs-7858-screening), including verified history and the date screening was completed
- The SIA licence check and register result for licensable roles
- Conditional employment dates, where someone started before full screening
- Who carried out and who reviewed the screening
- Training records and certificates
- Signed contracts, policies and assignment instructions
Cleared to Secure isn't ACS approved and doesn't award ACS status — that's for the SIA and its approved assessing bodies. It keeps the records that help you show your processes are being followed.
One screening file per officer
The PDF screening file shows each check, the evidence seen, who verified it and when, the interview date, conditional employment dates, any acceptance of risk by top management, the training record and a time-stamped verification log. Sensitive details stay in the app.
A workforce compliance report
A single report shows every current member of staff with their SIA licence, right to work, DBS and training position, and everything overdue or coming up — useful before an assessment and for monthly management reviews.
Records kept for the right length of time
Screening records are kept for at least 12 months for people who don't complete screening and for seven years after someone leaves, following BS 7858. Files are stored privately, and the company that runs Cleared to Secure, Frankton Group Ltd, is certified to ISO 27001 and Cyber Essentials.
